Job Description: Bookkeeper (Accounts Payable Focus)

Position Summary

Our organization is seeking a highly skilled and detail-oriented Bookkeeper to assume responsibility for a newly created position within our expanding company. The successful candidate will primarily oversee Accounts Payable functions while providing support across additional areas of the accounting department as needed. This individual will collaborate closely with Accounting, Payroll/HR, Accounts Receivable, Purchasing, and Management, ensuring the accuracy, efficiency, and integrity of financial processes. Comprehensive training will be provided by current staff members transitioning into more specialized roles. The training will occur at both our Lorain and Huron offices. The permanent position will be at our Lorain office.

Essential Duties and Responsibilities

Accounts Payable (Primary Responsibility):

● Receive, review, and process a high volume of vendor invoices.

● Verify accuracy of invoices by reconciling purchase orders, packing slips, vendor statements, amortization schedules, and contractual agreements.

● Coordinate with the Purchasing Officer and Management to obtain appropriate approvals.

● Perform accurate data entry into Foundation Accounting Software and Spruce Accounting Software.

● Prepare and analyze A/P aging reports to facilitate Management approval of invoice payments.

● Process payments in accordance with company policies and vendor terms.

● Maintain organized filing systems and documentation for recordkeeping and audit purposes.

Additional Responsibilities:

● Manage reception of mail, visitors, and telephone callers that opt out of the automated phone system.

● Perform general administrative and secretarial tasks as assigned.

● Serve as backup support for other bookkeeping personnel during periods of absence, which may include:

○ Payroll administration

○ Accounts receivable processing

○ General accounting support

 

Required Qualifications and Competencies

● Minimum of five (5) years of experience in bookkeeping or accounting, with significant exposure to accounts payable.

● Demonstrated organizational ability and a high level of attention to detail.

● Proven reliability, integrity, and discretion in handling sensitive information.

● Strong capacity to manage multiple priorities and meet deadlines in a professional manner.

 

● Ability to work both independently and within a team setting.

● Proficiency in Microsoft 365 applications (Outlook, Word, Excel), including advanced Excel functions such as PivotTables.

● Prior experience with Foundation Accounting Software is strongly preferred.

● Active Public Notary commission is preferred but not required.

Setting:

Our Lorain office building was expanded and completely renovated in 2022. There are 5 people that work in the office, including two of the three owners. Each person has their own private office, computer, printer, and physical files. Electronic files are stored in our on-site server. We have a brand-new multifunction printer/copiers/scanner with finisher. Our office features a full kitchen and conference room. We all collaborate throughout the day. Working hours are Monday-Friday from 7:30am to 4:00pm with a half-hour lunch break. The office is closed on weekends.

Terminal Ready-Mix, Inc. has delivered quality and service since 1954. Our ready-mixed concrete division manufactures and delivers high quality concrete from 4 plants located in Lorain, Huron, Sandusky, and Bellevue. Our builder’s supply division sells products

from those same 4 locations. Our construction division is based in Lorain and specializes in both municipal and private roadway projects. Our dock division operates two facilities on the Black River in Lorain that receive material from lake freighters.
